Planned Parenthood of Tennessee and North Mississippi is one of Tennessee's oldest and largest private, non-profit health care agencies. JOB SUMMARY

The Development Assistant provides crucial database and administrative support to the Development department; participates in fundraising activities including donor stewardship, public relations, direct mail appeals, and special events. The Development Assistant must be extremely detail-oriented and work to ensure delivery of impeccable donor services. Reports to the Manager of Development Operations. Significant interaction with the Director of Philanthropy.

ESSENTIAL FUNCTIONS:
Database Administration

  • Assist Operations Manager in operation, maintenance, data input, data integrity and accuracy for the constituent database.

  • Achieve proficiency in Blackbaud Raiser’s Edge NXT software for development functions.

  • Create a schedule for and complete regular database maintenance such as deduplication, anonymous record and NCOA updates, others.

  • Maintain current knowledge of database and third-party plug-in applications as needed.

  • Provide ongoing assistance to front-line fundraisers and management; fulfill users’ query and export requests; create customized queries and reports for users.

  • Work with Operations Manager to prioritize and accommodate competing requests for data and reports according to established priorities.

Donor Relations/Stewardship

  • Process gifts from individuals, corporations, foundations, and organizations received in a timely manner; organize and ensure appropriate retention of gift and donor documentation.

  • Generate gift acknowledgement letters, receipts, pledge reminders, membership renewal and welcome letters.

  • Assist with maintaining and updating donor acknowledgment letters, appeals, and other donor materials. Proofread and copy edit as needed.

  • Support special events by assisting with event data management, gathering and preparing registration materials, ordering supplies, day-/night-of support as needed, and other duties as needed.

  • Assist Senior Leaders and Development team members with one-to-many donor communications, Governing Board communications, and scheduling.

  • Respond to requests for information from donors and volunteers in a professional and timely manner.

Administration

  • Handle all administrative details associated with Development-related meetings (i.e. prepare and distribute notices, agendas, minutes, etc.).

  • Assist CDO and other Development team managers with the following duties: scheduling meetings, arranging travel, monthly reimbursements and credit card receipts maintenance, and calendar scheduling and maintenance, among other responsibilities.

  • Coordinate the production of and distribution of donor meeting folders, event kits, and marketing and stewardship materials.

  • Oversee general office duties at office, such as, but not limited to, sorting incoming and outgoing mail, maintaining office supplies, recycling, scheduling maintenance, office machinery, or shredding appointments, etc.

  • Perform all functions with a high degree of accuracy and confidentiality.

  • Other duties as assigned.

  • Experience with Microsoft Word and Excel, working with database and internet research; knowledge of Blackbaud Raiser’s Edge, a plus

  • Knowledge of telephone and email protocols

  • Excellent reading, writing and grammar skills. Both written and verbal.

  • Exceptional skills in the areas of organization, attention to detail, time management, ability to manage multiple tasks, define and set priorities, meet deadlines and problem solve

  • Ability to work with minimal supervision and direction

  • Must be able to work flexible hours including evenings and weekends, and travel within and outside organization region as job dictates

JOB REQUIREMENTS:

EXPERIENCE: A minimum of two years experience in an administrative position preferred, preferably in a nonprofit development office. Knowledge of Blackbaud Raisers Edge a plus.
